Refund and Cancellation Policy
This policy explains how cancellations, rescheduling, deposits, milestone fees, third-party costs, and refund reviews work for Staffable AI.

1. Free audit calls
The free audit has no payment attached. You may cancel or reschedule your audit call through the booking link when available, or by contacting Staffable AI as early as possible. Staffable AI may decline future free slots after repeated no-shows, abusive requests, incomplete information, or unsuitable requests.
2. Paid setup projects
Paid AI Employee setup, Staffable Console setup, automation implementation, integrations, and custom workflow work begin only after a written scope, timeline, deliverables, price, and payment plan are accepted. Refunds depend on work already started, milestone status, time committed, tools purchased, and the written project terms.
3. Before work starts
If you cancel a paid setup before any research, planning, configuration, design, coding, integration, documentation, project management, or reserved delivery time has started, Staffable AI may refund the unused amount received after deducting payment gateway charges, bank charges, taxes already paid or due, domain/tool costs, third-party subscriptions, and other costs committed specifically for your project.
4. After work starts
Once work has started, fees for completed work, work in progress, committed time, project management, planning, research, configuration, design, coding, integration, testing, documentation, and third-party costs are not refundable. If a milestone project is cancelled, Staffable AI may calculate any unused balance after deducting completed work, current milestone work, reserved time, committed vendor costs, and non-refundable expenses.
5. Deposits and retainers
Deposits, booking amounts, onboarding fees, discovery fees, and retainers may be non-refundable if stated in the proposal, invoice, or written agreement. If no specific term is stated, they may still be reduced by work already done, time reserved, and costs already incurred.
6. Subscriptions and monthly support
If a monthly support, maintenance, or managed-service arrangement is agreed, cancellation rules will follow the written plan. Unless the written plan says otherwise, paid monthly periods already started are not refundable, and cancellation stops renewal for the next period after required notice.
7. Third-party tools and accounts
Payments made to third-party platforms, domains, hosting providers, email providers, calendar tools, AI tools, payment providers, software vendors, or other external providers are governed by those providers. Staffable AI cannot guarantee refunds for third-party charges, even if Staffable AI helped recommend, configure, or connect the tool.
8. No refund for business outcome alone
Refunds are not provided only because a business expected a different revenue result, lead result, search ranking, ad result, customer response, internal adoption level, or operational outcome. Staffable AI sells audit, setup, implementation, and support work, not guaranteed business results.
9. Defects and remedy
If a paid deliverable does not materially match the accepted written scope, contact Staffable AI with clear details. The usual remedy is reasonable correction, rework, replacement of the affected deliverable, or another practical fix within the agreed scope. A refund is considered only if correction is not practical and the issue is not caused by missing client inputs, changed requirements, third-party failures, unauthorized changes, or use outside scope.
10. Refund request process
To request a refund review, contact Staffable AI with your name, email, project reference, invoice or payment details, payment date, amount paid, cancellation date, and reason for the request. Approved refunds are normally processed to the original payment method where possible. Bank, gateway, card network, tax, or platform timelines may apply after Staffable AI initiates the refund.
11. Written agreement controls
If a signed agreement, written proposal, invoice, statement of work, or project email contains specific cancellation or refund terms, those specific written terms control over this general website policy.
